In this privacy policy, we seek to explain to you in the clearest way possible what information we collect, how we use it and what rights you have in relation to it. We hope you take some time to read through it carefully, as it is important. If there are any terms in this privacy policy that you do not agree with, please discontinue use of our Sites and our services.
This privacy policy applies to all information collected through our website (such as https://hiredhands.ai), and/or any related services, sales, marketing or events (we refer to them collectively in this privacy policy as the "Services").
Please read this privacy policy carefully as it will help you make informed decisions about sharing your personal information with us.
What Information Do We Collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when registering at the Services expressing an interest in obtaining information about us or our products and services, when participating in activities on the Services or otherwise contacting us.
The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make and the products and features you use. The personal information we collect can include the following:
Publicly Available Personal Information. We collect first name, maiden name, last name, and nickname; phone numbers; current and former address; email addresses; social media; and other similar data.
Payment Data. We collect data necessary to process your payment if you make purchases, such as your payment instrument number (such as a credit card number), and the security code associated with your payment instrument. All payment data is stored by Stripe. You may find their privacy policy link(s) here: https://stripe.com/privacy.
Social Media Login Data. We may provide you with the option to register using social media account details, like your Facebook, Twitter or other social media account. If you choose to register in this way, we will collect the Information described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS" below.
All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information - such as IP address and/or browser and device characteristics - is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies.
Online Identifiers. We collect devices; applications; tools and protocols, such as IP (Internet Protocol) addresses; cookie identifiers, or others such as the ones used for analytics and marketing; and other similar data.
Information collected from other sources
In Short: We may collect limited data from public databases, marketing partners, social media platforms, and other outside sources.
We may obtain information about your from other sources, such as public databases, joint marketing partners, social media platforms (such as Facebook), as well as from other third parties. Examples of the information we receive from other sources include: social media profile information (your name, gender, birthday, email, current city, state and country, user identification numbers for your contacts, profile picture URL, and any other information that you choose to make public); marketing leads and search results and links, including paid listings (such as sponsored links). We will inform you about the source of information and the type of information and the type of information we have collected about you within a reasonable period after obtaining the personal data, but at the latest within one month.
How Do We Use Your Information?
In Short: We process your information for purposes based on legitimate business interests, the fulfillment of our contract with you, compliance with our legal obligations, and/or your consent.
We use personal information collected via our Services for a variety of business purposes described below. We process your personal information for these purposes in reliance on our legitimate business interests, in order to enter into or perform a contract with you, with your consent, and/or for compliance with our legal obligations. We indicate the specific processing grounds we rely on next to each purpose listed below.
We use the information we collect or receive:
- To facilitate account creation and logon process. If you choose to link your account with us to a third party account (such as your Google or Facebook account), we use the information you allowed us to collect from those third parties to facilitate account creation and logon process for the performance of the contract. See the section below headed "HOW DO WE HANDLE YOUR SOCIAL LOGINS" for further information.
- To send you marketing and promotional communications. We and/or our third party marketing partners may use the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt-out of our marketing emails at any time (see the "WHAT ARE YOUR PRIVACY RIGHTS" below).
- To send administrative information to you. We may use your personal information to send you product, service and new feature information and/or information about changes to our terms, conditions, and policies.
- Fulfill and manage your orders. We may use your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services.
- To protect our Services. We may use your information as part of our efforts to keep our Services safe and secure (for example, for fraud monitoring and prevention).
- To enforce our terms, conditions and policies for Business Purposes, Legal Reasons and Contractual.
- To respond to legal requests and prevent harm. If we receive a subpoena or other legal request, we may need to inspect the data we hold to determine how to respond.
- To manage user accounts. We may use your information for the purposes of managing our account and keeping it in working order.
- To deliver services to the user. We may use your information to provide you with the requested service.
- To respond to user inquiries/offer support to users. We may use your information to respond to your inquiries and solve any potential issues you might have with the use of our Services.
- For other Business Purposes. We may use your information for other Business Purposes, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our Services, products, marketing and your experience. We may use and store this information in aggregated and anonymized form so that it is not associated with individual end users and does not include personal information. We will not use identifiable personal information without your consent.
Will Your Information Be Shared With Anyone?
In Short: We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.
We may process or share data based on the following legal basis:
- Consent: We may process your data if you have given us specific consent to use your personal information in a specific purpose.
- Legitimate Interests: We may process your data when it is reasonably necessary to achieve our legitimate business interests.
- Performance of a Contract: Where we have entered into a contract with you, we may process your personal information to fulfill the terms of our contract.
- Legal Obligations: We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process, such as in response to a court order or a subpoena (including in response to public authorities to meet national security or law enforcement requirements).
- Vital Interests: We may disclose your information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, situations involving potential threats to the safety of any person and illegal activities, or as evidence in litigation in which we are involved.
More specifically, we may need to process your data or share your personal information in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Third-Party Advertisers. We may use third-party advertising companies to serve ads when you visit the Services. These companies may use information about your visits to our Website(s) and other websites that are contained in web cookies and other tracking technologies in order to provide advertisements about goods and services of interest to you.
How Do We Use Artificial Intelligence?
In Short: Hired Hands uses artificial intelligence to power features you choose to use. Those features process the information you submit and generate content in response.
"AI Input" means data, prompts, documents, images, audio, video, communications, contacts, instructions, or other information submitted to an artificial intelligence feature. "AI Output" means the content generated in response.
Within Hired Hands, artificial intelligence is used to:
- Answer inbound calls and messages, and capture the caller details and job request;
- Propose and schedule appointments;
- Follow up on estimates and send appointment reminders;
- Request and respond to customer reviews;
- Draft written content, marketing material, and images;
- Summarize and classify information;
- Answer questions and hold conversations;
- Score and prioritize leads;
- Produce recommendations, alerts, and suggested next steps.
Artificial intelligence functionality assists people. It is not intended to replace qualified professional judgment. AI Output may be inaccurate or incomplete and should be reviewed by a person before it is relied upon, as described in our Terms and Conditions.
Do We Use Your Information To Train Artificial Intelligence Models?
In Short: No. We do not use your information to train, improve, or develop any general-purpose or shared artificial intelligence model.
We do not use your information, your AI Inputs, or your AI Outputs to train, improve, or develop any general-purpose, shared, or third-party artificial intelligence model, and we do not sell or license that information for anyone else to do so.
Where a feature builds a model for your own use, that model is created from the content you supply, for your account only, and is not shared with other customers. For example, if you build a chat bot by writing question-and-answer pairs, those pairs may be sent to our model provider to produce a customized model that serves your bot alone.
Our model providers process your AI Inputs to return a response. Under the business terms on which we use them, they do not use that content to train their own general-purpose models. They may retain content for a limited period for abuse monitoring and to meet their legal obligations. We do not control those practices, and we encourage you to review the policies of the providers listed below.
Who Else Processes Your Information When You Use AI Features?
In Short: AI features send your information to model, communications, and infrastructure providers that act on our behalf.
To deliver these features we share information with service providers, which may include:
- Model providers that generate AI Output, including OpenAI and Anthropic;
- Speech and video generation providers, where you use the recorded-voice or video reminder features, to render the message in the voice you supplied;
- Twilio, for telephone calls and text messages;
- Google, where you connect a Google account for calendar or sign-in;
- Email delivery providers, for messages the Services send;
- Cloud hosting and infrastructure providers that store and process data for us.
- Email infrastructure and validation providers, where you use the email features;
- Domain registrars, where you register or connect a domain through the Services.
These providers receive only what is needed to perform their function. Their availability, errors, model changes, and data-retention practices are outside our control. Where you connect your own third-party account to Hired Hands, information also flows under the terms of that account, which you are responsible for reviewing.
What About Google Workspace Data?
In Short: If you connect a Google account, Hired Hands uses your Google Calendar only to manage your appointments, and that data is never sent to an artificial-intelligence service.
Hired Hands' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
When you connect Google Calendar, we request a single permission, https://www.googleapis.com/auth/calendar.events, which lets the Services read and manage events on the calendar you choose. We use it to:
- Show your existing appointments inside the Services;
- Create a Google Calendar event when an appointment is booked with you;
- Update that event when the appointment is rescheduled or changed;
- Remove that event when the appointment is cancelled;
- Read your existing events so that we can work out which dates and times you are free, and offer only those to a customer who is booking or rescheduling;
- Read upcoming events so that appointment reminders can be sent to the customer.
We do not request permission to see, edit, share, or delete your calendars themselves, your calendar settings, or your calendar sharing rules.
Working out your open times is ordinary arithmetic done on our own servers, over your working hours and the events already on your calendar. No part of it involves artificial intelligence.
Information we receive from Google Workspace APIs, whether raw, aggregated, or derived, is not transferred to any third-party artificial-intelligence service, and is not used to create, train, or improve any generalized or foundational artificial-intelligence or machine-learning model, whether ours or anyone else's. Google Calendar events are matched to your existing contacts by attendee email address only; the contents of an event, including its title and description, are not submitted to a model provider.
You can disconnect Google Calendar at any time from the calendar settings page in the Services, or by removing access at myaccount.google.com/permissions. Disconnecting stops all further access; appointments already mirrored into the Services can be deleted with the rest of your data as described below.
What About QuickBooks Data?
In Short: If you connect QuickBooks Online, Hired Hands reads your invoices, quotes, payments, and customer contact details so that it can follow up with your customers for you. It never changes your books, never sells the data, and never uses it to train artificial intelligence.
When you connect QuickBooks Online, Intuit asks you to approve access for Hired Hands through the com.intuit.quickbooks.accounting permission. Hired Hands only reads through that permission. It never creates, changes, or deletes anything in your QuickBooks company.
We read and keep a copy of:
- Invoices: number, customer, dates, total, balance, currency, whether and when QuickBooks sent them, the billing email address, and the customer's online payment link;
- Estimates (quotes): number, customer, dates, total, status, and who accepted them;
- Payments: customer, amount, date, the invoices paid, and the descriptions of the items on those invoices;
- Customers: name, company name, one email address, one phone number, and billing state.
We use this information only for the features you switch on: showing your open invoices and quotes, sending payment reminders and quote follow-ups by text message, email, or automated call, thanking customers who pay, sending a booking link when a quote is accepted, adding paying customers to your review requests and customer journeys, and sending the events you subscribe to, such as "invoice paid", to your own webhooks or Zapier. Nothing is sent to your customers until you turn these features on. Connecting QuickBooks from one of your review businesses turns on review requests for customers who pay an invoice, following that business's review rules.
Financial details from QuickBooks, including amounts, invoice and quote numbers, due dates, and payment links, are never included in anything sent to an artificial-intelligence language model. Payment reminders and quote follow-ups use fixed wording. When an automated call tells a customer about an invoice or quote, our own software inserts those details, and the call provider's text-to-speech service speaks them.
A customer's name, email address, and phone number from QuickBooks become part of your contacts in Hired Hands. Like any other contact, those details may be given to your AI agent so that it can recognize and talk with that customer when they call or text you, and may be used by other features you turn on for your contacts. QuickBooks data is never used to train, improve, or develop any artificial-intelligence model, whether ours or anyone else's.
QuickBooks data is shared only with the service providers needed to deliver these features: Twilio for text messages and calls, including the speech providers Twilio uses to voice and transcribe calls; our email delivery provider; the model and speech providers listed above, only for contact details, as described; and the webhooks or Zapier accounts you choose to connect.
The access Intuit grants us, and your QuickBooks company identifier, are encrypted when stored. All traffic to and from QuickBooks is encrypted in transit.
You can disconnect QuickBooks at any time from the QuickBooks card where you connected it in Hired Hands, or from inside QuickBooks. When you disconnect, we stop reading your books at once. We also delete the invoice, quote, payment, and customer records we copied from QuickBooks, together with any reminders scheduled from them. Customers already added to your contacts or review list remain in your account as your own records until you delete them. We also keep records and recordings of the messages and calls already made, and opt-out and consent records, so that we honor opt-outs and meet our legal and billing obligations. Deleting your Hired Hands account also revokes our access in QuickBooks.
What About Calls, Messages, and Recordings?
In Short: Where you use calling, messaging, reminder, or review features, we process the contents of those communications.
If you use the telephone or text-message features, we process call audio, call recordings, transcripts, message contents, phone numbers, and related metadata. An automated voice may answer or place calls on your behalf and speak with your customers.
If you use the reminder, follow-up, or review features, we process the contact details and message contents needed to send them and to record the response.
You are responsible for obtaining the notices, authorizations, and consents that the law requires before recording, transcribing, analyzing, or sending these communications, and for honoring opt-out, STOP, and do-not-call requests. We do not provide legal advice on recording, monitoring, messaging, or telemarketing law.
What About Information You Submit About Other People?
In Short: When you upload information about your customers, contacts, or employees, you decide how it is used and we process it on your instructions.
Hired Hands is a business tool. Much of what you submit is information about other people: leads, customers, contacts, recipients, and the contents of your communications with them. For that information you are the controller and we act as your processor. You are responsible for having a lawful basis to collect and submit it, for providing any required notices to those people, and for responding to their requests about it.
We process that information to provide the Services to you, on your instructions, and we do not use it for our own marketing. If someone whose information you submitted contacts us directly, we will generally refer them to you, and we will tell you so that you can respond.
Do We Make Automated Decisions About You?
In Short: No. AI Output is advisory, and we do not use it to make decisions that produce legal or similarly significant effects about you without human involvement.
Scores, predictions, classifications, and recommendations produced by the Services are estimates offered to a person for review. We do not use them to make a decision producing legal effects concerning you, or similarly significantly affecting you, without human involvement.
Where you configure automated actions inside your own account, you decide what those rules do and you remain responsible for maintaining appropriate human oversight of them.
Depending on where you live, you may have the right to be informed about automated decision-making, to object to it, and to request human review. To exercise those rights, contact us at info@hiredhands.ai.
Do We Use Cookies And Other Tracking Technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information. Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Policy.
How Do We Handle Your Social Logins?
In Short: If you choose to register or log in to our services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and login using your third party social media account details (like your Facebook or Twitter logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile Information we receive may vary depending on the social media provider concerned, but will often include your name, e-mail address, friends list, profile picture as well as other information you choose to make public.
We will use the information we receive only for the purposes that are described in this privacy policy or that are otherwise made clear to you on the Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third party social media provider. We recommend that you review their privacy policy to understand how they collect, use and share your personal information, and how you can set your privacy preferences on their sites and apps.
What Is Our Stance On Third-party Websites?
In Short: We are not responsible for the safety of any information that you share with third-party providers who advertise, but are not affiliated with, our websites.
The Services may contain advertisements from third parties that are not affiliated with us and which may link to other websites, online services or mobile applications. We cannot guarantee the safety and privacy of data you provide to any third parties. Any data collected by third parties is not covered by this privacy policy. We are not responsible for the content or privacy and security practices and policies of any third parties, including other websites, services or applications that may be linked to or from the Services. You should review the policies of such third parties and contact them directly to respond to your questions.
How Long Do We Keep Your Information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy policy unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements). No purpose in this policy will require us keeping your personal information for longer than 90 days past the termination of the user's account.
AI Inputs, AI Outputs, call recordings, and transcripts are kept on the same basis, and you can delete them from your account. Deleting them from your account does not immediately remove copies held in backups or held for a limited period by a provider for abuse monitoring or to meet a legal obligation.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
How Do We Keep Your Information Safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, please also remember that we cannot guarantee that the internet itself is 100% secure. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the services within a secure environment.
Do We Collect Information From Minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. If you would at any time like to review or change the information in your account or terminate your account, you can:

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, some information may be retained in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our Terms of Use and/or comply with legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. To opt-out of interest-based advertising by advertisers on our Services visit http://www.aboutads.info/choices/.
Opting out of email marketing: You can unsubscribe from our marketing email list at any time by clicking on the unsubscribe link in the emails that we send or by contacting us using the details provided below. You will then be removed from the marketing email list - however, we will still need to send you service-related emails that are necessary for the administration and use of your account. To otherwise opt-out, you may:
- Note your preferences when you register an account with the site.
- Access your account settings and update preferences.
- Contact us using the contact information provided.
Data Breach
A privacy breach occurs when there is unauthorized access to or collection, use, disclosure or disposal of personal information. You will be notified about data breaches when Operation Silo LLC, doing business as Intellic Labs believes you are likely to be at risk or serious harm. For example, a data breach may be likely to result in serious financial harm or harm to your mental or physical well-being. In the event that Operation Silo LLC, doing business as Intellic Labs becomes aware of a security breach which has resulted or may result in unauthorized access, use or disclosure of personal information Operation Silo LLC, doing business as Intellic Labs will promptly investigate the matter and notify the applicable Supervisory Authority not later than 72 hours after having become aware of it, unless the personal data breach is unlikely to result in a risk to the rights and freedoms of natural persons.
Controls For Do-Not-Track Features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. No uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy policy.
Do California Residents Have Specific Privacy Rights?
In Short: Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information.
California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. We will make sure the data is not publicly displayed on the Services, but please be aware that the data may not be completely or comprehensively removed from our systems.
